Policy on the Assistance to Participants
National Conference to Defeat Cancer May 14 and 15 2009
This policy on the assistance available to participants applies to individuals from the public at large* registered for the National Conference to Defeat Cancer. The Coalition Priorité Cancer has committed to cover part of the transportation and lodging expenses of these individuals, based on conditions subject to the distance between their place of residence and Downtown Montréal.

Admissibility is based on your Geographic Zone
First, to find out if you are admissible for assistance, you must establish the distance between your place of residence and Downtown Montréal. To do so, please navigate to the Transports Québec web site at http://www.quebec511.gouv.qc.ca/fr/distances/index1.asp where you can use their Travelling Distance Estimation Tool. Or, you can contact the National Conference's Reception and Registration Office..
On the Transports Québec web page, it the Origin box, choose the location where you reside from the roll-down menu. Then, choose "Montréal (centre-ville)" in the Destination box, as shown below.

Once you have established the distance, you will be able to identify in which zone you reside, and find out if you are admissible for assistance.
Zone 1
Geographic zone 1includes all locations that are less than 100 kmfrom Downtown Montréal.
Financial assistance for transportation expenses is not available to individuals who reside within Zone 1.
Zone 2 et Zone 3
Geographic zone 2 includes all locations that are betweed 100 and 300 km from Downtown Montréal.
Geographic zone 3 comprend toutes les villes se situant à more than 300 km from Downtown Montréal.
Individuals who reside within Zones 2 and 3 are entitled to:
Paid transportation to Montréal
Lodging for 1 or 2 nights

Terms of assistance
Once you have sent in your completed registration form, along with your payment, and once you have established your admissibility for assistance, you must contact the National Conference's Reception and Registration Office so they can guide you through the reservation procedures.

However, before contacting us, we suggest that you read the following terms of assistance related to travel.
Transport
These are your transportation options to get to the National Conference, listed by our order of preference:
1. By one of the buses chartered by the Coalition. This bus will leave from the city closest to your place of residence. You will have to provide your own transportation to the designated point of departure.
2. By train or regular intercity bus. The fare will be either prepaid or refunded based on your agreement with the National Conference’s Reception and Registration Office.
3. By using your own car. Your refund will be based on a preset amount calculated on the kilometres traveled. If you pick this option, we encourage you to carpool.
Lodging
Because the National Conference to Defeat Cancer is a non-profit event with limited resources, we ask people who can get free accommodations with family or friends in the Montréal area to do so. That way, you will enable us to help other participants who really need it.
Participants from Zones 2 and 3 who need lodging assistance must contact the Reception and Registration Office (see contact information above) to check what support is available. If you are admissible, we will be pleased to arrange the details of your reservation, and assign you one of the rooms supplied by one of our hotel partners.
Therefore, it is mandatory to contact us to be admissible for lodging assistance. Any reservation made without prior agreement from the National Conference’s Reception and Registration Office will not be refunded.
Each of these options will be considered admissible only if the preceding option is not available. For instance, Option 3 will be allowable for refund only if the preceding options (1 and 2) can not be used.
You must contact the National Conference’s Reception and Registration Office to find out the transportation options available to you in your region, and make the necessary arrangements.
